How do I change the value of a response?

Hi all,
When I first wrote my survey, I used 1-2-3 as the VALUES behind a response, instead of “Red-Blue-Green” that are offered as the option.

I want to change the values to match the text of the options. Instead of Red=1, Blue=2….I want Red=Red, Blue=Blue, etc. How can I do this?

Hi,

To change the reporting values for your question, go into Advanced Edit (the little notebook on the left side) and go to the question options. There is a column labeled ‘Reporting Value’ which is where you put in the values you want there. Be sure and save changes.

Except it says that previously reported values will show up separately in reporting.
Is there a way to merge “Red=1″ and “Red=Red” to be the same?

Hi,

Yes, if you change reporting values after you have gathered data for the survey, you will have 2 sets of data.

A workaround: When you run your reports, check the option to use the question label instead of the reporting values. Then all your data will be one set instead of two.

Hi, Simon.

You do have that feature available in your free account. When you are creating a Summary Report, you can set various options. You will see this:

Question Options

Display question option titles (rather than report values)

This is the box you want to check to use the questions titles instead of the reporting values.

aha, that's useful, thank you.

Is this option also available for exporting data?

The problem I have at the moment is that when I created my survey I didn't take notice of the reporting values and for some reason they've got all muddled. Which would be fine normally as I could search and replace. But the problem is that two of the reporting values are the same so when the data is exported, the two values are merged and I can't disagregate them.

The data is fine in the summary report – it seems to be able to distinguish between them.

Please let me know if there's anything I can do to fix this.

Hi, Simon.

No, unfortunately it's not something you can specify for the data download. There really is no fix other than to use the Summary Report. At the Pro and Enterprise level, you can download a Word or PDF of your Summary Report.

Cheri,

I have collected data and closed my survey.  I then made the type of change you describe, but going from a text value label to numerical, and saving the change.  Rerunning my report shows the change took place.  However, when I export data to Excel my values remain in the original text version.  What do I need to do so that I export numbers instead of words?

Hi Tom,

Currently, the option to use option titles rather than reporting values is only available in summary reports.  The ability to export option titles rather than reporting is currently on our feature request list.
