New Feature: Send Email Invitations

Please note – This was posted in September of 2006. We have made many improvements to our email invitation system since then. If you’re interested in learning more about the email invitation system and how it works, please check out the email invitation system tutorial.

How many times have you wanted to quickly send out an invitation for a survey, then follow up with anyone who hasn’t finished it? How about emailing those who complete your survey to say ‘thank you’ or share final results with them?

Good news — we have just released a survey email invitation tool that lets anyone with a personal, professional or enterprise account do all of that!

With the Email Invites tool you can:

  1. Upload email addresses. You can upload from Excel, text files or you can cut and paste into our text-entry.
  2. Send an email. Seems basic, but we give you some extra oomph to make sending emails more exciting. You can that automatically merge in name, company, email, and of course the unique survey link.
  3. Track Individuals – Survey invitations let you track survey responses back to the original contact — even if your survey doesn’t ask for contact information.
  4. Track click-through’s, visits, abandoned surveys, and completed surveys.
  5. Send followup emails as a reminder to complete the survey, a thank you, or to share the results with takers.

You can create as many email invites as you like for a survey (each invite is limited to 1000 contacts in one send). Sending to different groups lets you track the results separately.

Need to boost your result count? Send as many ‘followup’ emails for an invitation as you need to. Let’s face it, your first invitation might have arrived at a bad time, or been deleted accidentally with junk mail. Followups give your contacts another chance to complete thier survey.

All responses are tracked in real time, so you can see who is and isn’t completing their surveys.

One other little thing, all the emails we send are CAN-SPAM compliant and automatically attach your company details and an unsubscribe link to the bottom of each email. We take our anti-spam policy seriously at SurveyGizmo. We expect you do as well, after all, you’re the Good Guys not the spammers — right?

Invites are limited to 1,000 emails. If you need to do more than this call customer service about integrating SurveyGizmo with your own SMTP mail server or even your Email Service Provider.

The Email Invite tool isn’t limited to surveys either.

Here are some other ideas you can do with SurveyGizmo & the invite tool:

  • Have your customers/members update their contact info (then let SurveyGizmo post it back to your own database.)
  • Send an exam to your students and keep track of who has completed it.
  • Have people RSVP for an Event, sign-up for a new product, or review a document.
  • Have employees agree to a new policy, learn about new company info, or test on some subject of accountability

The invite tool is located between the “Publishing” and “Reporting” tabs on every survey! Enjoy!

    Hi there,

    nice feature. As I want to use the survey in an iframe on my company’s website, I wonder if this is also possible with this feature. Does it link directly to this surveys native URL (at surveygizmo.com) or can I enter an URL for the link where the survey is displayed?

    Hi Michael,

    Yes we do also provide iframe insertion of surveys. Simply go to the ‘publish’ page of your survey and scroll down the page. IFRAME and javascript insertion options are available (it’s as easy as copying and pasting the code form our site into your webpage.

    ah, and one more thing: if we use this email invitation, what will be the sending email address? will it be something @surveygizmo.com or can it be customized as something like info@tv-server.de or similar…?

    Hi there,

    We are in the process of creating a web-based survey. We want to send out about 70,000 email invitations and also have the ability to track these.

    I stumbled across this page and it indeed is something we are looking at, but as mentioned on this pafe there is limit of 1000 email id’s. I was wondering what are the options for being able to track 70,000 email invitations.

    Thanks in advance and any help in this regard will be appreciated.

    Is there any way to include other information about the list, like say an employee id or other custom data?

    When you say “unique URLs”, do you mean that each email invitation includes a URL for that addressee only? And is that URL only good for one respondent? That is, we need to limit the responses to invitees only — if an invitee forwards the email to someone else, that 2nd person cannot complete the survey. Is that how it works? What if the invitee does not complete the survey but forwards the invitation — can the 2nd person complete the survey?

    Hi Jim,

    Yes each survey email invitation gets a link unique to them so that we are able to tell if and when they click it. There is also an option to control how those links are treated when you set up the email invitation to the survey.

    You can either have the link tied to a session of the survey so that users can use the link to get back in on another occasion and finish (good for long surveys or 1 vote), or you can have each click of the email invite spawn a new survey session. This choice is ideal when you want to encourage forwarding of the email, but it does make the tracking a little off.

    There is always also the option to use a non-unique, public link to the survey. This is also good in situations where you want to encourage forwarding and you would like everyone to see the friendly survey URL, i.e. mycompany.mysurvey.sgizmo.com

    Do you offer a spell checker for the survey questions and choices?

    Hi Marie,

    Yes we do have a spell check for question text. You can also visit the Reporting -> Data Options page in your survey and grab a text file output of your entire survey. This is a handy way to spell check it all at once using MS Word.

    By the way, I also personally really like using FireFox to build surveys because it shows me misspelled words as I type. If you right click it will suggest alternatives.

    You can insert any kind of link into an email so doing a link to your (or our) privacy policy is easy. Unsubscribe management is coming to SurveyGizmo soon, but in the meantime you can specify to reply with “REMOVE” in the subject line and take care of it that way.

    It was mentioned that invitations are limited to 1,000 emails and if more are needed then we are to call customer service. If we have a list of 4,000 potential responders, couldn’t we just divide it up into 4 batches with 1,000 emails in each batch?

    Hi Ric,
    At the Personal level, you are limited to 1,000 email invites per month. So if you split your list of 4,000 to send out throughout 4 months (1,000 each month), that would work. Otherwise, you can upgrade to the Pro account for one month to send out the 4,000 email invites all at once. Thanks!

    Can I attach a file (as a survey in format .pdf or .doc) in the e-mail campaign ? Because some customers will need to print the survey and to send it us back by post mails. Or can we have the download as pdf or download as word functionalities in front office when customers are getting the survey ?
