Send Email Action
What is this?
This feature sends out an email as soon as the page the send email action is on is submitted. You can have this email sent to yourself, a client, your boss, or even the survey respondent.
When would I use this?
A great example of a good time to use a send email action would be if you wanted to send an email to your respondent with the answers they filled out. The Send Email action can pull the respondent’s email address either from a previous question, a pre-defined hidden value, or from a SurveyGizmo Email Invite field.
You can also CC yourself on this email so you will know every time someone completes a survey. This can help you to keep up to date on how many surveys are being completed. It can also be useful because if you’re receiving negative feedback from your customers, if you get an email right away, you can get started on the problem instead of waiting until you’ve finished your survey analysis.
What options do I have in this Send Email Action?
You can customize your Send Email action as much as any normal email (subject, body, cc, html/text, etc.) but we offer several other features in them as well.
- Attach a PDF review: You can send a PDF of the respondent’s survey results attached to the email sent.
- Include Link to Uploaded Files: If you have a file upload question in your survey, this will provide you a link to that file your survey taker uploaded (so you don’t have to log in and download it manually.)
- Send Each Time Page is Hit: This option allows you to send an email each time the page is hit. This can be useful if you allow people to go back and they changed their mind
- Time Delay: This field allows you to set a time delay on your email, so that it will not be sent out until the specified time.
- Reply To: This field allows you to set a “reply to” name and email address. That way, in case anyone responds to the email sent, you can have it sent to you or someone who can monitor it.
What should I avoid?
If your respondents have indicated to you that they do not wish to receive emails, or if you have indicated to them the survey is anonymous you may want to avoid sending them an email once the survey has been completed. Send Email actions must also be compliant with CAN-SPAM ACT, so if you have someone who’s blatantly expressed they do not wish to receive an email from you, it would be best to avoid doing so.
One thing that may help is, Send Email actions have the ability to send based on specific criteria from previous questions. If you have a question that specifically asks if they wish to be emailed their results, and they choose “no” you can set your email to only send if someone selects “yes”.
