Survey Quotas
Available to Professional, SurveyGizmo, Enterprise, and Dedicated Accounts.
What is it?
A quota is simply a survey response limit. For example, if you only want to collect 20 responses in your survey, your survey quota would be 20. There are three different types of quotas you can set up for your survey: Overall Response Quotas, a Segmented Quotas, and a Link-based Response Quotas.
When would you use it?
Overall Response Quota
The Overall Response Quota is the total number of completed responses for the entire survey. If you want to limit the total responses for your survey you would use this type of quota. Once that quota is hit, your respondents will no longer be permitted to submit their response.
Segmented Quota
The Segmented Quota can also be referred to as the "question-based" Quota. This quota allows you to limit responses based upon a number of fields, including questions asked in the survey, email campaign fields, system data fields such as current date, etc. It is most commonly set up based on how a respondent answers one or a combination of questions in the survey. Once the segmented quota limit has been reached, respondents who meet the segment conditions will no longer be permitted to submit their response. Note - if respondents do not answer the questions used in your segment conditions, they will be allowed to complete the survey.
Link-based Quota
The Link-based Quota is, as the name suggests, a quota set for each individual link sent out. If, for example, you have multiple email campaigns set up you can set separate quotas for each email campaign link. Or, you might have shared your survey on Facebook or Twitter, as well as embedded it on your website; you can set separate quotas for these links as well. Once that quota is hit, your respondents will no longer be permitted to submit their response.
Quotas and Survey Status
So that you can test your Survey and Link Quotas, as long as your survey is in either a Testing or Open Status, and response you receive will be counted towards your overall quota. This means that responses marked as *TEST* will also count towards your quota. If you do not wish to include test data, you can delete those responses from your survey and your quota will adjust accordingly.
For Example: If your Quota Limit is 10 and you have 5 test responses and 5 live responses, if you were to delete your 5 test responses, then the quota of 10 would no longer have been met and continue to allow respondents to submit their responses.
What does it look like for survey takers?
There are two potential messages displayed to the respondent, the Disqualify Message and the Too Many In-Progress message.
The Disqualify Message is displayed once the response quota has been met. To customize the default Disqualify Message (below) go to Project > Settings > Quotas.

The Too Many In-Progress Message is displayed to potential respondents when the number of "completed" and "in-progress" responses is equal to the response quota. To customize the default Too Many In-Progress Message (below) go to Project > Settings > Quotas.

Note: These messages are specified in one place and, hence, shared across each of the three types of quotas (if you have multiple quotas set up).
Setting Up an Overall Response Quota

Setting Up a Segmented Quota

Step 4: Click Add Quota under the Segmented Quota Settings to set up your "segment/s" |

Step 5: Customize the following settings for your "segment" A) Name - this is the name of the segment B) Description - description of the segment C) Limit - the response limit for your segment D) Limit Rule - the rules or conditions by which you would like to limit responses. You can set conditions based on questions asked within the survey, email campaign fields, system fields, such as, current date, etc. This example limits the responses collected for those who answered they were between the ages of 18 and 24 to 100.

When setting up segmented quotas you'll notice an "Important message regarding quota parameters."

Editing Segmented Quotas
Segmented Quotas can only be edited when the survey is still "In Design." If you have the need to edit your segments once the survey "Launched" you can delete the original segment and add a new one with your new conditions and response limits. Overall Response Quotas and Link-based Quotas can be edited at any time.
It can take up to 3 minutes for the following quota related edits to take effect in your survey: Deleting or adding a quota, deleting or editing a response.
