Bulk File Export


It looks like you have a File Upload question on your survey, and you'd really like to be able to download the files that were uploaded to it in bulk. 

Great news! We have updated our "Download Files" feature to a more robust download feature so that you can download your files in bulk (as well as individually), customize their file names, filter and publish/share your files.

 

Downloading Files in Bulk

To download your files in bulk, please follow these steps:

1. Go to the Project tab-->Export Data

2. Click on Bulk File Export

Once you click this option it will bring up the option to name your export:

3. Name your Export, the click Create Export

Once inside, you'll see a setup similar to any of your other exports. Any File Upload question you have in your survey will be listed under the "Edit" tab.

**(This File Upload question is named "File Upload," so you will see your actual question titles listed under the "Report Elements" section rather than anything entitled "File Upload.")**

4. Click on the small pencil icon to the right of your file upload question.

5. Customize your File

Once inside, you'll see the  following

  • Element Display Type: This should always say File Upload Field
  • Element Settings:
    1. Question: This allows you to name the question (it will only affect inside the Export-->Edit tab to help you keep track, it will not name anything within the actual export).
    2. Filename Format: This will allow you to specify how you'd like your resulting files to be labeled (once you have procured them from the zip file we provide for download).

You'll see you can add the following merge codes:

%responseid% = response id associated with the file

%filename% = name of the uploaded file

6. After customizing your file, click Save

7. Click on the Run Export tab then click Run Export Now if you have not yet run the report, or Refresh Data if it's already been run.

Once the export has finished running (depending on how many files you have and the size limit you have chosen, this could take a few minutes), you'll see the "Download Export" button.

It will also show you the date upon which the Export was most recently run, and the number of responses that were available at the time the Export was run.

8. Click Download Export

 This will download the file into a zip file. Once you've downloaded it, and you open the file, it should provide you a list of the files in the file format you had chosen on the Edit tab:

In this case, since I'd set my export to be %responseid% - Q2 - %filename% the files will come out with my Response ID, then Q2, and then the filename that was originally uploaded.

 Downloading Individual Files

If you'd like to download each of these files individually, you can do so on the View Data tab (Project tab-->View Data)

From there, you can set your Customize Grid & Individual Responses to show your upload questions on the View Data tab.

  1. Click on Customize Grid & Individual Responses
  2. Click the checkbox next to any file upload questions you'd like to view individually
  3. Click Save Changes

This will display the response grid with the individual file links next to each of their responses. They will have the title of the uploaded file listed.

Lastly: Click on the link, and it will open up the picture for you to download. You can do so generally by right clicking and selecting "Save Image As" or "Save Link As," depending on your browser.

 

** PLEASE NOTE** If you have a large number of files or very large files that have been uploaded to your file upload question, these may take some time to download.  If for any reason your resulting zip file downloads with a size of 0 MB, please contact the support team.
