Towards a More Safe and Secure World - 2019 NYC RFP Response Survey

To be considered for selection as the New York City hotel for the U.S. Department of State International Visitor Leadership Program (IVLP) initiative "Towards a More Safe and Secure World", you must fully complete this RFP Response Survey. Evaluation of responses will be based on Hotel’s ability to fully provide/agree to RFP Required Services, Criteria, and additional points, as well as abide by all Provisions listed in the RFP. 

All project dates and relevant details are included in the RFP document itself. Hotel properties currently participating in the FY2019 IVLP Preferred Hotel List (PHL)-NYC are strongly encouraged to respond. With the understanding that some of the PHL-NYC properties do not have adequate meeting facilities to compete for this project, we invite you to propose sister properties that meet the RFP Required Services and Criteria.

2. Please provide your hotel's address *This question is required.
7. Hotel confirms its ability and willingness to provide the required services, criteria, and to abide by all provisions laid out in the RFP. *This question is required.
8. Each International Visitor and Interpreter/Liaison will be accommodated in a single-occupancy room.  *This question is required.
9. Hotel agrees to provide accommodations at or below the GSA seasonal nightly room rate for April/May 2019.  *This question is required.
11. No payment or credit card will be required at check-in. Due to the group size, special arrangements for incidental deposits will be made in advance. Incidentals will not be covered by the U.S. Department of State of Meridian International Center.  Hotel must agree to a flat deposit of no more than $100 per guest for the entire stay. Incidental deposit will not exceed $100 per guest for the entire stay. Deposits must be returned to the guests expeditiously, no later than the the morning of departure *This question is required.
13. Preferred method of payment is Direct Billing between hotel and Meridian International Center (MIC). *This question is required.
15. The rooming list will be provided by MIC after U.S. Department of State has released this information. Rooming lists usually will not be available until less than 30 days prior to arrival. Flexibility is expected with regard to changes in the participant rooming lists, up until the day before arrival. *This question is required.
16. Complimentary internet access must be provided in guestroom for all participants. Please confirm that complimentary internet will be provided in guestrooms and hotel public spaces i.e. "all common areas", "lobby", "meeting spaces", "business center", etc. *This question is required.
18. Can Hotel provide meeting space on Wednesday, May 1 that can accommodate one 6'x6' interpreting booth with direct sight line to the state/front of the room? *This question is required.
20. Hotel can hold meeting space through April 3, 2019 without penalty if cancellation occurs before that period of time.  *This question is required.
21. The interpreting booth company should have free access to the hotel loading area/dock one day prior to the event and will require complimentary access to the meeting space the day prior to the event for booth set-up (Tuesday, April 30). *This question is required.
22. Hotel provides 24/7 security. *This question is required.
24. Hotel can provide basic A/V services at competitive rates, and will provide a list of A/V rates in advance. Pricing required in advance for all types of microphones, risers, and podium. *This question is required.
30. Complimentary Breakfast is included in nightly room rate for all hotel guests *This question is required.
32. If breakfast is not included in room rate, hotel can provide guests breakfast within GSA breakfast per diem rate for Washington, DC.
34. Does hotel anticipate any type of renovations during the visitors' stay that could impact the quality of the stay? *This question is required.
