The Shared Services Intern will assist the Director of Procure to Pay / ITAM (hardware asset management) during a 10-week summer internship with a variety of internal Procurement and ITAM projects, including data analysis, procurement research and ITAM Asset Management to deepen relationships with existing internal business technology owners and suppliers with a focus on data cleansing, inventory visibility, data clean up, end to end process documentation and improvements. The ideal candidate will have a strong attention to detail, the ability to write and proofread, work under tight deadlines, is flexible and willing to pitch in, works well in teams and is open to learning about financial systems, internal business services and hardware lifecycle management.


Roles/Responsibilities:

Hardware portfolio life-cycle management - Maintain and track technology hardware inventory across enterprise, including completion of an annual analysis and reconciliation of assets in the system of record vs. discovery tools and spot audits.
Warranty and maintenance management - develop and maintain warranty and maintenance schedule and ensure maintenance is kept up-to-date and accurate for critical technology hardware including a cost schedule for forecasting of spend.
Data destruction – candidate must be willing to learn and have a basic understanding of Information Security protocols and principles, as they will oversee the destruction of data stored on different mediums via software and physical means. A strict adherence to security principles are necessary and critical to continued operations.
Hardware Knowledge - Should keep up to date with current technology to be able to provide insight on what the best solutions should be for upcoming projects and to better select hardware for project needs.
Perform duties & responsibilities specific to department functions & activities.
Prepare communications plans for new corporate projects and programs; Write and proofread materials as needed.
Participate in the development of department policies and/or procedures and assist with client specific projects as assigned.
 
Responsibilities include the following:  1) adhering to and complying with the applicable, federal and state laws, regulations and guidance, including those related to Anti-money laundering (i.e. Bank Secrecy Act, US PATRIOT Act, etc.) 2) adhering to Bank policies and procedures, 3) completing required training, 4) identifying and reporting suspicious activity to the AML Officer, and 5) knowing and verifying the identity of any customer(s) that enters into a relationship with the Bank. 
 

Minimum Qualifications:
  • Strong communication and interpersonal skills to interact across various levels.
  • ITSM (software asset management) and change management experience preferred; willingness to learn.
  • ServiceNow experience preferred; willingness to learn.
  • Ability to regularly deal with ambiguous situations and problems.
  • Ability to receive instruction and work the issue through to completion autonomously.

Physical Requirements: 
  • The ability to learn and comprehend basic instructions; understand the meanings of words and respond effectively; and perform basic arithmetic accurately and quickly.
  • Vision must be sufficient to read data reports, manuals and computer screens.
  • Hearing must be sufficient to understand a conversation at a normal volume, including telephone calls and in person.
  • Speech must be coherent to clearly convey or exchange information, including the giving and receiving of assignments and/or directions.
  • Position involves sitting most of the time, but may involve walking or standing for brief periods of time.
  • May be required to lift 15 lbs.
